Event Sponsorship: Define Deliverables and Measure Results

A sponsorship proposal should make it possible to check what the organizer will deliver and what the sponsor hopes to achieve. Keep those two questions separate. A delivered logo placement can be verified; a future sale depends on evidence beyond the placement.

Choose the objective before the package

Ask whether the sponsor wants visibility, product feedback, opted-in enquiries or meetings with a defined buyer group. Request audience evidence with its edition, collection method and limitations. Where purchasing authority matters, ask how it was verified rather than relying on job-title categories.

Packages can combine several activities. For example, Egypt Energy Show’s sponsorship page offers exhibition, conference, networking and feature opportunities for its announced 2027 edition. Compare each format’s deliverables with your objective before choosing.

Convert the pitch into a delivery schedule

  • Specify each asset: location, format, language, display period and approval deadline.
  • For a session, define the sponsor’s role and editorial boundaries. Confirm speakers separately.
  • For meetings, agree who invites participants, how acceptance is recorded and what happens if someone cancels.
  • For digital placements, define which counts are available and how repeat actions are handled.
  • Assign a delivery owner, evidence file and remedy for each missed item.

Write these items into the contract, and list a proposed introduction, an accepted appointment and a completed meeting as separate stages.

Decide what participant data may be shared

Cairo ICT’s privacy notice describes deliberate badge presentation or an approved contact request before sharing a visitor’s contact details with exhibitors. Base any data sharing in your package on a similar deliberate action by the participant.

In your own contract, document collection purpose, participant notice, permitted recipient, fields shared and handling of withdrawal requests. Ask for aggregate reporting where named contacts are unnecessary.

Separate delivery, engagement and financial return

Build a report with three layers: delivered assets and evidence; interactions with stated definitions; and subsequent commercial outcomes confirmed by the sponsor. Record costs for sponsorship, activation, staff and follow-up. Credit the event only with opportunities the sponsor can trace to it.

Google’s ROI guidance links financial return to profit and costs. Report meeting counts and download totals as engagement evidence, and keep them separate from the financial calculation.

Agree a reporting calendar

Set dates for an initial delivery report and later commercial follow-up in the contract. The organizer can report completed placements before the sponsor can verify sales. Record incomplete items, cancelled meetings and attribution gaps. Use the review to shape the next package and the renewal decision. Align the sponsor report with your wider review of event success beyond attendance.

Frequently Asked Questions

Compare the actual deliverables, audience evidence and reporting terms rather than the package name or tier.

A meeting is not a sale. Define invitations, accepted appointments and completed meetings separately, and report sales only when the sponsor confirms them.

Define any data sharing and participant permissions explicitly. Cairo ICT’s published notice illustrates sharing through deliberate visitor actions rather than registration alone.

Agree dates in the contract. Report delivered assets first and later commercial outcomes when the sponsor has evidence to verify them.
