Gulf Event Infrastructure: What Organizers Should Verify

For an organizer choosing a Gulf city, infrastructure matters across the delegate journey: arrival, hotel, venue entrance, movement between sessions and departure. A large airport or new hall is only part of that journey. Assess what is usable on your contracted dates, keeping future plans separate from current services.

Separate operating access from expansion plans

Dubai Exhibition Centre’s transport page lists metro, taxi and car access. Use it as the starting point for your travel plan. Its expansion page identifies the first phase as completed and describes later phases and a masterplan extending to 2031. Treat those later facilities as plans, not as capacity automatically available to your event.

In Riyadh, the King Salman International Airport developer describes an airport development including cargo, logistics and real-estate facilities. PIF’s profile also describes the project in future terms. Plan transfers for your dates around the airport and routes already operating.

Ask the contracted venue to identify the halls, entrances, service yards and amenities included in the booking. Get written confirmation that each building you plan to use is finished, open and included in the price.

Test the whole route before choosing accommodation

  • Arrival: identify the airport actually used, arrival times, luggage needs and transfer options.
  • Hotel to hall: map the route to the correct entrance, including walking sections, crossings and the final transfer.
  • Accessibility: check step-free routes, drop-off arrangements and assistance requirements with the venue.
  • Peak departures: plan the end of the programme as carefully as arrival; identify meeting points and an alternative route.
  • Disruption: specify who updates participants if an entrance, road or service changes.

Compare hotels by actual route and timetable rather than straight-line distance. Request confirmation of any claimed indoor connection or shuttle. For exhibitors, compare build-up and dismantling access with ordinary visitor access.

Keep freight and people in separate plans

Prepare a delivery plan with the appointed logistics provider and venue: vehicle access, unloading appointments, lifting, storage, contractor passes and dismantling. Confirm the approved service route for machinery and the expected customs clearance time before shipping.

Give each plan an owner and backup contact in your team. Reserve time for checks and changes, and ask suppliers to state unconfirmed dependencies before accepting a quotation.

Verify digital services one by one

Use a checklist for registration, venue access, hotel entry and transport payment. Request demonstrations, identify who operates each system and decide what happens if the phone, network or app fails. Confirm with each operator which pass or key participants need at the airport, hotel and venue.

Keep a separate arrival instruction for each airport and hotel, so participants can find the entrance and assistance contact even if an app or integration fails.

Record why you chose the city

Compare operating spaces, accommodation route, accessible transport, freight, confirmed services, total quoted cost and open dependencies. Attach dated confirmations. Review future expansion only as a possible option for a later event.

For regional discovery browse UAE events and Saudi Arabia events on Events Checker, then use each organizer’s official link for participation details.
