A venue described as “smart” still needs a technical brief. For a conference producer or exhibition organiser, the useful question is whether the contracted services can deliver registration, presentations, demonstrations and remote participation under the planned load. Use the checklist below for each venue on your shortlist.
Start with facilities that the venue documents
Dubai World Trade Centre lists Wi-Fi, technical support, HD streaming and broadcasting facilities. OCEC’s Madinat Al Irfan Theatre lists installed sound, LED screens, a production switcher, cameras and fibre connectivity.
Request the equipment inventory for the rooms you will actually hire. Mark each item as included, chargeable, supplied by your contractor or unavailable. Confirm who operates it and whether the venue permits outside suppliers.
Turn connectivity into an acceptance test
- Describe simultaneous devices and their tasks: badge scanning, payment, demonstrations, streaming and ordinary browsing.
- Ask for upload and download commitments, wired connections, network separation and the support escalation route in writing.
- Run the actual registration application and broadcast workflow in the contracted rooms. Test concurrent use and record observed results.
- Rehearse an outage: offline check-in, a local presentation copy, alternative communication and a named person who can restore service.
Check present capability separately from future readiness
ITU’s IMT-2030 programme covers the development of the next generation known as 6G; its candidate technology submission window is February 2027 to February 2029. Treat a “6G-ready” label as a statement about future plans. Ask which network and service will be available on the event date, test it, and write measurable performance figures, such as latency, into the service specification.
Keep building operations and attendee data in the brief
For cooling, lighting or occupancy monitoring, ask the facilities team which controls exist in the booked space, how staff override them and what information can be provided after the event. Request the data used, its retention, permitted access and any attendee notice. Treat energy savings as an evaluation question: agree a baseline and the measurements to collect, and report savings only from those measurements.
Price the complete technical operation
Compare quotes that include technicians, rehearsal access, cabling, streaming, interpretation and overtime. Check that each listed screen or camera suits your production. Include a signed responsibility sheet and acceptance test record in the booking pack.
Use the events list on Events Checker to discover professional events, then verify technical arrangements directly with the organiser and venue.
