Start with what you want to bring back: a supplier shortlist, answers to a technical question or a useful professional contact. Adapt the steps below to your objective, budget and the organizer’s instructions.

Check the event’s official information

Verify dates, venue, admission conditions, pass coverage and the current exhibitor list before booking travel. As an example of a planning resource, electronica’s official visitor page links to registration, opening hours, hall plans, exhibitor information and services. Use the equivalent official resources for the event you are visiting.

  • Confirm which sessions or areas your pass covers and whether booking is required.
  • Check the venue and entrance shown on your confirmation, including any activity at another site.
  • Save the organizer’s contact details and the documents needed for admission.

Build a schedule around your objective

Group exhibitors by priority and hall, then arrange meetings where the organizer or exhibitor offers that option. Keep time for walking, queues and breaks. Choose the number of days from the meetings and sessions you need.

Prepare transport and access

Consult the venue guide as well as the event page. Dubai Exhibition Centre’s guide, for example, describes access through the Expo 2020 metro station and lists accessibility facilities. Check the same details in the guide for your own venue.

Pack the essentials: admission confirmation, phone charger, notes and suitable footwear. Check dress instructions, permitted items and the available facilities. Save essential information for use without a live connection and request access support ahead of time if needed.

Compare suppliers consistently

Prepare the same questions for each relevant exhibitor: specification, availability, service coverage, quoted price assumptions and the next step. Record whether an answer is confirmed or needs written follow-up. With permission, save product information or a contact; avoid collecting material with no clear use.

Follow up on agreed actions

After the visit, organize notes by supplier and objective. Ask for the information you agreed to receive and set a review date for your shortlist. Judge the visit by the questions answered and next steps completed. When you plan your next visit, search the Events Checker event listings by country and sector, and compare options with our trade fair selection checklist.
